IMPORTANT NOTICE: This privacy policy has been prepared in good faith to align with Australian privacy law. As Brains Collective currently operates below the $3 million annual turnover threshold, it is not yet legally required to comply with the Privacy Act 1988 (Cth). However, this policy reflects a voluntary commitment to best-practice privacy handling consistent with the Australian Privacy Principles (APPs). This document is not a substitute for independent legal advice. You are encouraged to have this reviewed by a qualified Australian privacy lawyer before publishing.


1. About This Policy

Brains Trust Collective is a knowledge community operated by Brains Collective, a sole trader business registered in Australia (ABN 91 210 404 203), trading as Brains Trust Collective.

This Privacy Policy explains how we collect, use, store, disclose and protect your personal information when you interact with us — including when you register as a member, attend our events, or engage with our online community.

By submitting your information through our registration form or otherwise engaging with Brains Trust Collective, you consent to the collection and use of your information as described in this policy.


2. What Personal Information We Collect

We currently collect the following personal information when you register as a member or express interest in Brains Trust Collective:

- Full name

- Email address

- Professional background or industry (where provided)

- Business name or employer (where provided)

- Location / suburb or city (where provided)

- Any additional information you choose to share in open-text fields on our registration form

In future, as paid membership tiers are introduced, we may also collect:

- Billing name and address

- Payment information (processed securely via a third-party payment provider — we will not store card details directly)

- Membership tier and transaction history

We will update this policy before any paid tiers are introduced.


3. How We Collect Your Information

We collect personal information in the following ways:

- Directly from you when you complete our membership registration form (currently hosted via Google Forms)

- When you contact us directly by email or through our website

- When you attend a Brains Trust Collective event and provide your details in person or via registration

- Through your ongoing participation in the community

We do not collect personal information from third parties or purchase data lists. We do not use cookies or tracking pixels on our current registration form.


4. Why We Collect Your Information and How We Use It

We collect and use your personal information only for the purposes for which it was provided. These purposes include:

- To register you as a member of Brains Trust Collective

- To communicate with you about upcoming events, forums, and community opportunities

- To send you updates, newsletters, and information relevant to the community (you may opt out at any time)

- To manage your membership, including any future paid membership tiers

- To understand the makeup and needs of our community so we can improve what we offer

- To comply with any legal obligations

We will not use your personal information for any purpose that is unrelated to the above without first obtaining your consent.


5. How We Store and Protect Your Information

Your personal information is currently stored in the following systems:

- Google Forms — used to collect registration information. Google Forms data is stored on Google's servers in accordance with Google's Privacy Policy and Terms of Service.

- Google Sheets — member data is transferred to a password-protected Google Sheet accessible only to authorised personnel (currently the sole operator of Brains Collective).

- Email platforms — we may use Google Workspace, Microsoft Outlook, or Mailchimp to contact members. Each of these platforms has its own privacy and security standards. Where Mailchimp is used, a link to their privacy policy will be provided.

We take reasonable steps to protect your personal information from misuse, interference, loss, unauthorised access, modification and disclosure. These steps include:

- Password protection on all files and accounts containing member data

- Limiting access to personal information to authorised personnel only

- Not sharing member data with unauthorised third parties

- Regularly reviewing our data handling practices as the community grows

We store your information for as long as necessary to fulfil the purposes outlined in this policy, or as required by law. If you request deletion of your information, we will action this within 30 days.


6. Disclosure of Your Information

We do not sell, rent, or trade your personal information to any third party.

We may share your information with third-party service providers who assist us in operating the community, including:

- Google LLC (Google Forms, Google Sheets, Google Workspace) — for data collection and storage

- Mailchimp / Intuit Inc. (if used) — for email communications

- Microsoft Corporation (if Outlook is used) — for email communications

- Future payment processors (if paid tiers are introduced) — for processing membership fees

These service providers are engaged on the basis that they will only use your information for the purposes we specify and in accordance with their own privacy policies and applicable law.

We may disclose your personal information if required to do so by law, or if we believe in good faith that such disclosure is necessary to comply with legal obligations, protect our rights, or respond to a government or law enforcement request.

We will never disclose your personal information to other community members without your explicit consent.


7. Your Rights

You have the right to:

- Access the personal information we hold about you

- Request correction of any personal information that is inaccurate, out of date, incomplete or misleading

- Request deletion of your personal information (subject to any legal obligations we may have to retain it)

- Withdraw your consent to receiving communications from us at any time by contacting us or using the unsubscribe link in any email we send

- Make a complaint if you believe we have mishandled your personal information

To exercise any of the above rights, please contact us using the details in Section 10.


8. Data Breaches

In the unlikely event of a data breach involving your personal information, we will:

- Take immediate steps to contain the breach and assess the risk

- Notify affected members as soon as practicable if there is a likely risk of serious harm

- Notify the Office of the Australian Information Commissioner (OAIC) where required

We are committed to handling any data breach in a transparent and timely manner consistent with Australian privacy law.


9. Third-Party Websites and Services

Our website and registration form may contain links to third-party websites and services (including Google, Mailchimp, and GoDaddy). This Privacy Policy applies only to Brains Trust Collective. We encourage you to review the privacy policies of any third-party services you interact with, as we are not responsible for their privacy practices.

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal obligations. When we make changes, we will update the "Last updated" date at the top of this policy and, where the changes are significant, notify members directly by email.

We encourage you to review this policy periodically. Your continued membership and engagement with Brains Trust Collective following any update constitutes acceptance of the revised policy.


This Privacy Policy was prepared on 11 April 2026. It is designed to align with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth) as amended by the Privacy and Other Legislation Amendment Act 2024, and reflects voluntary best-practice compliance by Brains Collective as a small business operator. This document does not constitute legal advice. Brains Collective recommends seeking independent legal review before finalising and publishing this policy.
